The Constitution of the
Pre-Medical & Pre-Dental Society
Article I - Name
This student organization shall be known as the Pre-Medical & Pre-Dental Society
Article II - Purpose
The objective of this organization shall be to provide the Students at Texas State University the opportunity to learn about the medical and dental fields through community service, guest speakers, networking, hands on experience, and trips to conferences.
Article III- Affiliation
The Texas State Pre-Medical and Pre-Dental society is not affiliated with any outside organizations.
Article IV - Criteria for Membership
Membership can be extended to all students enrolled in Pre-Medical and Pre-Dental coursework at Texas State University.
Article V - Voting on membership
Membership will be extended to any student enrolled in any of the pre-medical or pre-dental courses. If a student is not enrolled in coursework he may be extended membership if there is a three-fourths majority of the voting society members.
Article VI - Duties and Privileges of Membership
Section 1. Dues shall be $40 dollars per semester or $70 dollars for the entire year
Section 2. Trips to Texas Medical and Dental School conferences will be held every semester
Section 3. Multiple networking and shadowing opportunities are available through our meetings with guest speakers.
Section 4. A chance to compete for an annual PMPD scholarship
4a) A point system dependent on the individual members attendance, volunteer work, trips taken, and overall involvement in PMPD will be kept by the secretary.
4b) The student with the most points will be awarded the scholarship.
Article VII - Establishment of officers, their duties, and authority
Section 1. The president shall preside at all meetings. He/She shall appoint the chairpersons of all special committees, shall be an ex-officio member of all committees, and shall serve as chairperson of the executive board. The President shall keep the Faculty Sponsors informed at all times.
Section 2. The Vice president shall assist the President and shall perform the duties of the President in his/her absence.
Section 3. The Secretary shall be in charge of taking minutes at all meetings, have the active membership list, and conduct all general correspondence in relation to membership.
Section 4. The Treasurer shall receive all monies and have charge of all funds. He/she shall pay all expenses authorized by the organization and provide a financial statement to the president weekly.
Section 5. The Public Relations Office will have two positions. These two officers will work together to plan weekly meetings, guest speakers, trips, recruitment, and correspondence with members.
Section 6. The Volunteer Coordinator will organize service opportunities once a semester for members to attend. He/she will record the names of all members present. If a philanthropy is found the volunteer coordinator is responsible for communicating with that organization in order for PMPD to become involved.
Section 7. The Social Chair must be present at meetings to help the public relations officers and establish a relationship with members. It is his/her job to increase meeting attendance and helping the members network with each other through social gatherings. The social chair must gain approval for all PMPD sponsored events through the President.
Section 8. The Fundraising Coordinator will answer to the treasurer and is responsible for filing funding requests with Campus Activities and Student Organization and Student Organization Council. He/She will also organize fundraisers and take care of all paperwork associated.
Section 9. The Webmaster will keep the PMPD website up to date with the calendar and upcoming events as well as answer to the Public Relations Officers in regards to advertising on campus and contacting Medical and Dental schools if needed.
Article VIII - Selection and Removal of Officers
Section 1. All officers must be current regularly enrolled students in good standing with Texas State University; President, Vice President and Treasurer must maintain a GPA of 2.25.
Section 2. The executive board will consist of the President, Vice President, Secretary, Treasurer, Public relations office.
Section 3. Officer selection will occur in May and all elections shall be by anonymous majority vote. In the case of a tie the president’s decision will serve as the tie breaker.
Section 4a. In the occasion that an officer is not fulfilling their duties they may be impeached by a unanimous decision by the executive board or by a 3/4 majority vote of all officers.
Section 4b. In the case that the officer in question is on the executive board the officer may be impeached if the faculty advisor approves.
Article IX - Frequency of Meetings
Section 1. The Executive board will meet to make decisions regarding the society once during the last week of each month of the academic year, December included.
Section 2. General meetings shall be held during the first, second, and third week of each month from September through May, Christmas and Spring break excluded. Convenient meeting days will be chosen by members.
Section 3. Special meetings may be called, and meeting times changed, when deemed necessary.
Article X - Dues of the Organization
Dues will be $40 per semester or $70 for the entire year for members. They will be collected by the Treasurer and are necessary to partake in the privileges of the society. The policies, activities, and finances of the organization are subject to the control of the majority and its voting membership.
Article XI - Procedures for decision making
To be considered the quorum for changing a policy, activity, or financial direction must be 2/3 of the members who have paid their dues. Of the 2/3 paid members present a majority of 3/4 must agree in order to change a policy, procedure, or financial direction.
Article XII - Establishment of Committees
The establishment of committees will be decided upon by the executive board.
Article XIII - Provision for selection and replacement of faculty/staff advisor
The Executive board is responsible for finding a replacement for an advisor and must come to a 2/3 majority vote.
Article XIV - Provision of disbursal of organization assets
Should the organization become defunct all assets will go to scholarship for Texas State Pre-Medical and Pre-Dental students as seen fit by the faculty advisor.
Article XV - A process to consider and remove amendments to the constitution
This Constitution may be amended at any meeting by a 2/3 majority vote of the members present and voting, provided the amendment has been presented in writing at the previous meeting.
Article XVI - Statement of Ratification of this document
This document was ratified by a 2/3 majority vote of members present and a unanimous vote of the executive board on April 23rd, 2012.
